🔍 Consultant Insight: How to track progress in process modeling? One recurring challenge our consultants see across client organisations: ➡️ There’s no clear way to track the progress of process modeling work. It’s not just about knowing what’s done, but also understanding what’s next, where the bottlenecks are, and how much is left. 💡 One effective approach we've seen is to create a dynamic process status dashboard - for example, using 2c8 software - that brings visibility and structure to modeling work. Here’s what it can include:  ✅ Add status to each process - PARK / TODO / WIP / DONE ✅ Visualise how many processes are in each stage across different functions ✅ Set priorities to guide modeling order ✅ Classify processes by type (e.g. core, support) ✅ Specify LEAN analysis status - whether it’s needed, adds value, or has been completed ✅ Track confirmation & implementation cycles with dates ✅ Mark content-level changes (not just layout edits) ✅ Specify execution time per process ✅ Possibility to export data to Excel for deeper analysis 📈 The result? Real-time insight into how much work is done, what’s in progress, and where attention is needed - all essential for leading structured, data-driven transformation. This insight was brought to you by Lean Digital consultant Siim Sims. Want to improve visibility into your process development work? Let’s talk about what’s possible. #LeanDigital #ProcessModeling #ProcessImprovement #DigitalTransformation #OperationalExcellence #BusinessProcessManagement #2c8 #ContinuousImprovement #DataDrivenDecisions

  • Please meet Lean Digital’s consultant Polina Miina. 🔹 𝗪𝗵𝗮𝘁 𝗱𝗼 𝘆𝗼𝘂 𝗱𝗼 𝗮𝘁 𝗟𝗲𝗮𝗻 𝗗𝗶𝗴𝗶𝘁𝗮𝗹? At Lean Digital, I work as a consultant and take part in projects where I can put business analysis principles into practice. I am motivated by people’s growth, mentoring, collaboration, and continuous learning – values that I get to apply every day with clients. I also enjoy contributing to the company’s internal development. 🔹 𝗪𝗵𝗮𝘁 𝗲𝘅𝗽𝗲𝗿𝗶𝗲𝗻𝗰𝗲𝘀 𝘀𝘂𝗽𝗽𝗼𝗿𝘁 𝘆𝗼𝘂𝗿 𝘄𝗼𝗿𝗸 𝗮𝘀 𝗮 𝗰𝗼𝗻𝘀𝘂𝗹𝘁𝗮𝗻𝘁 𝗮𝘁 𝗟𝗲𝗮𝗻 𝗗𝗶𝗴𝗶𝘁𝗮𝗹? I’m currently in my second year of IT Master’s studies at the University of Tartu, where I’m deepening my knowledge in business analysis and digital transformation process using different framework methods. This academic path strengthens my ability to analyse and model business processes with a structured and data-driven approach, including Human Computer Interaction and Human Centric Design frameworks. My earlier professional background is in music – I studied to become a piano teacher and harpsichord performer. Working as a musician taught me to be persistent and results-oriented. Over the years, I’ve also expanded my skill set through studies in business management, communication, and adult education. My background in training and facilitation helps me bring clarity to complex topics and support clients through change with empathy and structure. 🔹 𝗪𝗵𝗮𝘁 𝗮𝗿𝗲 𝘆𝗼𝘂𝗿 𝘀𝘁𝗿𝗲𝗻𝗴𝘁𝗵𝘀 𝗶𝗻 𝘁𝗵𝗶𝘀 𝗳𝗶𝗲𝗹𝗱? I am an active and positive communicator who enjoys creating a cheerful and collaborative atmosphere. I like breaking down complex tasks into simple steps, which is why process modeling is my favorite activity. Turning the information gathered during longer modeling sessions into visuals helps to create clarity and a shared understanding. 🔹 𝗬𝗼𝘂𝗿 𝗯𝗶𝗴𝗴𝗲𝘀𝘁 𝘀𝘂𝗰𝗰𝗲𝘀𝘀 𝘄𝗵𝗶𝗹𝗲 𝘄𝗼𝗿𝗸𝗶𝗻𝗴 𝗮𝘁 𝗟𝗲𝗮𝗻 𝗗𝗶𝗴𝗶𝘁𝗮𝗹 For me, success means being part of projects that may start with similar inputs but always evolve into something multilayered and unique. Finishing each project is a shared achievement that I get to celebrate with my colleagues. 🔹 𝗪𝗵𝗮𝘁 𝗸𝗲𝗲𝗽𝘀 𝘆𝗼𝘂 𝗮𝘁 𝗟𝗲𝗮𝗻 𝗗𝗶𝗴𝗶𝘁𝗮𝗹? In my professional life, I value flexibility and good relationships, challenges and opportunities for growth, as well as humor and wisdom. 🔹 𝗪𝗵𝗮𝘁 𝗮𝗿𝗲 𝘆𝗼𝘂𝗿 𝗵𝗼𝗯𝗯𝗶𝗲𝘀? 𝗪𝗵𝗮𝘁 𝗱𝗼 𝘆𝗼𝘂 𝗱𝗼 𝗶𝗻 𝘆𝗼𝘂𝗿 𝗳𝗿𝗲𝗲 𝘁𝗶𝗺𝗲? I don’t have any particular hobbies – at the moment I am studying at the University of Tartu, so much of my free time goes into coursework. I truly enjoy walking, traveling, and spending time with my family at home. When I want to be on my own, classical music and a good film are my best companions. 💬 𝗙𝗲𝗲𝗱𝗯𝗮𝗰𝗸 𝗳𝗿𝗼𝗺 𝗵𝗲𝗿 𝗰𝗼𝗹𝗹𝗲𝗮𝗴𝘂𝗲, Roger Allas, 𝗶𝘀 𝘀𝗵𝗮𝗿𝗲𝗱 𝗶𝗻 𝘁𝗵𝗲 𝗰𝗼𝗺𝗺𝗲𝗻𝘁𝘀 𝗯𝗲𝗹𝗼𝘄. #leandigital #teambuilding

  • In cybersecurity, the biggest risk usually isn’t the technology - it’s people. Mistakes, weak passwords, and falling for tricks like phishing can break security, no matter how strong the system is. That’s why secure operations depend just as much on people, processes, and habits as they do on firewalls and software. Here’s how to embed security into the way your organization works every day: 🔹 𝗣𝗿𝗼𝗰𝗲𝘀𝘀 𝗺𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁 𝘀𝘆𝘀𝘁𝗲𝗺𝘀 help make security part of everyday work:  • Security policies are baked into workflows     • People only see the data they need  • Incident procedures are ready - no chaos, just action 🔹 𝗘𝘃𝗲𝗿𝘆 𝗱𝗶𝗴𝗶𝘁𝗮𝗹𝗶𝘇𝗮𝘁𝗶𝗼𝗻 𝗽𝗿𝗼𝗷𝗲𝗰𝘁 𝗮𝗹𝘀𝗼 𝗽𝗼𝘀𝗲𝘀 𝗮 𝘀𝗲𝗰𝘂𝗿𝗶𝘁𝘆 𝗿𝗶𝘀𝗸. Integrating cybersecurity aspects, like data protection assessments and risk analysis, from the start helps prevent issues later in operations. 🔹 𝗧𝗿𝗮𝗶𝗻 𝘆𝗼𝘂𝗿 𝗽𝗲𝗼𝗽𝗹𝗲 - 𝗯𝗲𝗰𝗮𝘂𝘀𝗲 𝗻𝗼 𝘀𝘆𝘀𝘁𝗲𝗺 𝘄𝗼𝗿𝗸𝘀 𝘄𝗶𝘁𝗵𝗼𝘂𝘁 𝘁𝗵𝗲𝗺 • Spot phishing emails and social engineering tricks • Use strong passwords and multi-factor authentication • Handle and classify data correctly • Report incidents quickly and to the right people • Keep devices secure - at work and at home Real security isn’t about locking things down - it’s about working smart. #LeanDigital #ProcessManagement #CyberSecurity #ProjectManagement #DigitalWorkflows #RiskManagement #BusinessProcessImprovement

  • When it comes to cybersecurity, compliance frameworks like 𝗜𝗦𝗢 𝟮𝟳𝟬𝟬𝟭 are often misunderstood as document-heavy checklists. But in reality, they’re 𝗮𝗯𝗼𝘂𝘁 𝘀𝘁𝗿𝘂𝗰𝘁𝘂𝗿𝗲𝗱 𝗽𝗿𝗼𝗰𝗲𝘀𝘀 𝗺𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁. Here’s how a 𝗽𝗿𝗼𝗰𝗲𝘀𝘀-𝗯𝗮𝘀𝗲𝗱 𝗮𝗽𝗽𝗿𝗼𝗮𝗰𝗵 simplifies compliance: ➡️ Modelled processes make it easier to connect risk management to everyday work ➡️ Clear workflows help demonstrate compliance with control requirements ➡️ Defined responsibilities show exactly who is accountable for what And to take it a step further, once processes are clearly mapped, Lean analysis can be applied to improve them. Lean analysis helps eliminate unnecessary steps and duplicated work - reducing the risk of: ✔️ Unnecessary data flows ✔️ Manual errors ✔️ Poorly managed access ✔️ Insecure data handling 💡 Secure operations are the result of intentional process design. #ISO27001 #RiskManagement #Compliance #BusinessProcessImprovement #BusinessProcessManagement #Cybersecurity #OperationsManagement #DigitalStrategy #LeanDigital

  • Modeling processes and IT architecture isn’t just about efficiency - it’s a powerful way to identify and mitigate security risks. Here’s what 𝗜𝗧 𝗮𝗿𝗰𝗵𝗶𝘁𝗲𝗰𝘁𝘂𝗿𝗲 𝗺𝗼𝗱𝗲𝗹𝗶𝗻𝗴 helps you achieve: 🔍 𝗨𝗻𝗱𝗲𝗿𝘀𝘁𝗮𝗻𝗱 𝗵𝗼𝘄 𝘀𝘆𝘀𝘁𝗲𝗺𝘀 𝗶𝗻𝘁𝗲𝗿𝗮𝗰𝘁 - making it easier to detect vulnerabilities, such as over-dependence on a single system 🔐 𝗗𝗲𝘀𝗶𝗴𝗻 𝗮𝗰𝗰𝗲𝘀𝘀 𝗿𝗶𝗴𝗵𝘁𝘀 based on real system flows and operational needs 🗂️ 𝗖𝗹𝗮𝘀𝘀𝗶𝗳𝘆 𝗮𝗻𝗱 𝗰𝗼𝗻𝘁𝗿𝗼𝗹 𝗱𝗮𝘁𝗮 proactively - ensuring the right data is accessible only to the right users 🛡️ 𝗔𝘃𝗼𝗶𝗱 𝘀𝗲𝗰𝘂𝗿𝗶𝘁𝘆 𝗴𝗮𝗽𝘀 when implementing new solutions (ERP, CRM, etc.) - by embedding them into a secure architecture from the start Meanwhile, 𝗽𝗿𝗼𝗰𝗲𝘀𝘀 𝗺𝗼𝗱𝗲𝗹𝗶𝗻𝗴 shows who does what with which data - making it easier to identify critical points where data may leak or where access should be restricted. 🛠️ Modeling isn’t just for efficiency – it’s a key risk management tool. #ProcessModeling #ITArchitecture #DataSecurity #DigitalTransformation #RiskManagement #BusinessProcessManagement #Cybersecurity #OperationsManagement #LeanDigital

  • 🛡️ Cybersecurity is still widely seen only as an IT responsibility, mostly about firewalls and antivirus. In reality, many vulnerabilities stem from unclear processes and diffuse responsibility, not just technical weaknesses. When organizations model and standardize how work gets done, they gain control over: 🔹 Data access -> clear roles and responsibilities = better access control 🔹 Error prevention -> standardized steps = fewer human mistakes 🔹 Risk visibility -> visualized processes = faster detection of weak points 🔹 Accountability -> clearly defined responsibilities = ensured ownership and minimized control gaps  🔍 If people don’t follow structured steps or lack clarity on responsibilities, mistakes happen, and those are often the entry points for cyber incidents. 💡Security begins with clear processes and responsibilities – not merely with technical tools. And it’s equally important that processes are reinforced by clear cybersecurity rules and policies — communicated across the company and understood by everyone. This is the first in a mini-series of posts, based on insights from Alisa Smõslova, Business Process Management Consultant at Lean Digital. #LeanDigital #ProcessManagement #RiskManagement #BusinessProcessManagement #Cybersecurity #OperationsManagement

  • Unplugged & inspired – summer moments with the team Last week, the Lean Digital team took a little time off the grid and headed to the unique island of Kihnu for our summer days. We stayed at Miku Talu, where our lovely host Vivika helped us plan the trip down to the last detail. Thanks to her, we had the chance to experience a true culinary journey at Kihnu Gurmee, hosted by Inger, who served us a five-course tasting menu. Seal liver pâté, cormorant meat, and seagull eggs - new tastes for many of us, and surprisingly delicious! The day ended in the best way possible: a smoke sauna and celebrating two of our summer birthday stars, Siim and Roger. The next day brought a proper local adventure — a truck-bed tour around the island led by none other than Veera Leas, a walking encyclopedia of Kihnu’s heritage. With 35+ years as the island’s cultural ambassador, her stories made every stop meaningful. We wrapped it all up with a retro disco night at Kurase Bar, complete with hits from decades past. We definitely recommend Kihnu for anyone looking for a meaningful and unique summer escape. Many thanks to Miku Talu, Vivika Tapp, Kihnu Gurmee, and Veera Leas for making our summer days so special! #LeanDigital #SummerDays #TeamBuilding #KihnuIsland

  • Tasks piling up. Projects delaying. Customers waiting. Everyone’s busy, but nothing moves forward. These bottlenecks aren’t just annoying delays. They quietly erode morale, frustrate customers, and drain your budget. The usual fix? More meetings. More tools. More people. But without addressing the root cause, the chaos continues. To solve the chaos, you need visibility, and that starts with process modeling. ✅ Visualize how work really flows ✅ Pinpoint where slowdowns happen ✅ Solve the real problems — not just the visible ones With the right modeling and facilitation, teams unlock serious value - no extra headcount or restructuring needed. If your operations feel like a traffic jam, Lean Digital can help you regain control - from detailed modeling to bottleneck analysis and redesign.  #LeanDigital #ProcessManagement #BusinessManagement #BusinessDevelopment #DigitalTransformation #OperationalExcellence #ProcessImprovement #BusinessImprovement #BusinessGrowth #ProcessOptimization #Digitalization #Digitalisation

  • Don’t have time to model business processes?  Consider how much time and resources the company is wasting by not doing it. Rework. Delays. Miscommunication. Quality issues. Duplicate effort. Manual fixes. Onboarding struggles. These aren’t just inefficiencies - they’re signs of unclear, undocumented ways of working. Process modeling doesn’t slow things down — it removes friction. It replaces scattered know-how with shared clarity. It helps your team work smarter, not harder. And no — this isn’t about drawing pretty diagrams. It’s about building a practical, scalable playbook that actually gets used. At Lean Digital, we help organizations model their processes clearly and effectively - turning complexity into clarity and chaos into consistency. 📉 If inefficiencies are slowing your team down, there’s no better moment to course-correct. 💡 The EIS Digital Roadmap grant can help fund the creation of your company’s digitalization roadmap (digitaliseerimise teekaart). #LeanDigital #ProcessManagement #BusinessManagement #BusinessDevelopment #DigitalTransformation #OperationalExcellence #ProcessImprovement #BusinessImprovement #ProcessOptimization #Digitalization #Digitalisation
