Set up quotes

Set up quote settings including your logo, the default sending email address of the quote, default payment terms, expiration periods and more. Quotes is part of HubSpot CPQ. Learn more about HubSpot CPQ.

Please note:

  • This article references the quotes tool, part of HubSpot's new AI powered CPQ, and available with a Commerce Hub Professional or Enterprise account. 
  • If you do not have a Commerce Hub Professional or Enterprise account, learn more about legacy quotes.
  • If you have access to legacy quotes and are assigned a Commerce Hub seat, you'll lose access to legacy quotes. Change the seat to a core, or view-only seat to access to legacy quotes.

Understand requirements

A Commerce Hub seat is required to set up quotes.

Configure general quote settings

To get started, configure the following quote settings:

  1. Add a logo to your HubSpot brand kit: quotes will automatically pull in the logo set in your HubSpot brand default settings
    • Quotes will use the brand kit's colors. Or, you can set up quote branding.
    • Updating your logo won't update existing published quotes, only currently drafted quotes and quotes created after updating.
  2. Set default payment options: you can set which payment methods your quotes will accept by default in your payments settings. You can also customize this on each quote during its creation.
  3. Set default net payment terms: set default net terms, which define the timeline in days in which payment must be remitted within each billing period, adding transparency to the quote agreement terms.
  4. Connect your domain to HubSpot: by default, quotes are hosted on the landing page primary domain connected to your account. When creating a quote, you can also select from any of your other connected domains. If you haven't yet connected a domain, or would like to connect a separate subdomain for hosting quotes (e.g., billing.website.com), learn how to connect a domain to HubSpot.

Set the activity threshold for tracked recipient activity

Super Admin permissions are required to set the high activity threshold for tracked recipient activity. 

To set the threshold:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to ObjectsQuotes.
  3. Under Analyze quote activity level tracking threshold, enter the high activity threshold. Published quotes with activity tracked below this threshold will be defined as Low activity.

Set a default from email address

Super Admin permissions are required to set the team email address that quote emails are sent from.

The default email address can be a team email address or a personal email address. If no default email is set, the quote will be sent from the personal or team email address that the user chooses when sending the quote.

To set a default email address:

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to ObjectsQuotes.
  3. Click the Default from address dropdown menu and select the email address you'd like to use as the default.
  4. If you want to allow users to manually send quotes from their personal email address, or other team email addresses they have access to, toggle the Allow sending from other email addresses switch on.
  5. Click Save.

Set a default expiration period

Super Admin set a default quote expiration period for all quotes created in the account. After updating the default expiration period.

Any new quotes that you create moving forward will automatically have the set expiration date.

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Quotes.
  3. Click the Set a default expiration period dropdown menu and enter a default expiration time period between 1 and 365 days.
  4. Click Update.

Set the default quote value

Super Admin permissions are required to set a default quote value of Quote amount or Total contract value (TCV).

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Quotes.
  3. Click the Default quote value dropdown menu and select Quote amount or Total contract value (TCV).

Set quotes to delete on contact deletion

Super Admin permissions are required to set quotes to delete when an associated contact is deleted.

  1. In your HubSpot account, click the settings settings icon in the top navigation bar.
  2. In the left sidebar menu, navigate to Objects > Quotes.
  3. Toggle the Delete quotes on contact deletion switch on.
