As a measure against erroneous sending of electronic mail (hereinafter also referred to simply as "mail"), a technique is known in which a check screen is displayed to have the sender confirm the validity of the destination address and the validity of the attached files before sending the mail, and the sender is made to check the check. The following describes an embodiment of the present invention (hereinafter also referred to as the "present embodiment"). In this embodiment, we will explain an email erroneous transmission prevention system 1 that prevents erroneous email transmission by generating a confirmation screen (a screen for allowing the sender to confirm the legitimacy of the email content) based on the content of the email to be sent, the attributes of the sender, information on past erroneously sent emails, etc., and displaying it on the sender's terminal.

As shown in FIG. 1, the email erroneous transmission prevention system 1 according to this embodiment includes an erroneous transmission prevention server 10, one or more email sending/receiving terminals 20, one or more management terminals 30, and an email server 40. Each of these servers and terminals is communicatively connected via any communication network, such as an in-house LAN (Local Area Network).

The erroneous transmission prevention server 10 receives email from the email sending/receiving terminal 20 and generates a confirmation screen based on the content of the email, the sender's attributes, information on past erroneously sent emails, etc. The erroneous transmission prevention server 10 then transmits the generated confirmation screen to the email sending/receiving terminal 20, causing the confirmation screen to be displayed.

The erroneous transmission prevention server 10 also checks (checks) the confirmation screen displayed on the mail sending/receiving terminal 20, and when the sender issues a transmission instruction, it sends (transfers) the mail from the mail sending/receiving terminal 20 to the mail server 40. The erroneous transmission prevention server 10 is realized by one or more computers.

The email sending/receiving terminal 20 is a terminal used by the sender (user) of an email. The email sending/receiving terminal 20 creates and sends emails (including forwarding and replying to emails) in response to user operations. The email sending/receiving terminal 20 also receives emails from the email server 40. The email sending/receiving terminal 20 is realized, for example, by a PC (personal computer). However, the email sending/receiving terminal 20 may also be realized, for example, by various devices or equipment such as a smartphone or tablet terminal.

In this embodiment, the sender is assumed to be a member of a company, organization, etc. (e.g., an employee of a company, a staff member of an organization, a student of a school, etc.). Hereinafter, members of these companies, organizations, etc. will be collectively referred to simply as "employees."

The management terminal 30 is a terminal used, for example, by the administrator of the erroneous transmission prevention server 10. The management terminal 30 can operate (add, delete, edit) information stored in the template screen generation rule storage unit 111, the employee information storage unit 112, the erroneous transmission email information storage unit 113, etc., described below, in response to operations by the administrator.

The mail server 40 forwards mail from the erroneous transmission prevention server 10 to other devices according to the destination address. The mail server 40 also forwards mail from other devices to the mail sending/receiving terminal 20, etc. according to the destination address. Note that in this embodiment, when simply written as "destination address," it refers to all of the email addresses set in the To field of the email, the email addresses set in the Cc field, and the email addresses set in the Bcc field.

Here, the erroneous transmission prevention server 10 has, as its functional units, a transmission control unit 101 and a screen generation unit 102. Each of these functional units is realized, for example, by a process in which one or more programs installed in the erroneous transmission prevention server 10 are executed by a CPU (Central Processing Unit) or the like.

The erroneous transmission prevention server 10 also has, as storage units, a template screen generation rule storage unit 111, an employee information storage unit 112, and an erroneously transmitted email information storage unit 113. Each of these storage units can be realized using, for example, a hard disk drive (HDD) or a solid state drive (SSD). However, at least one of these storage units may be realized using a storage device or the like that is connected to the erroneous transmission prevention server 10 via a communication network.

The transmission control unit 101 receives mail (hereinafter also referred to as "mail to be sent") from the mail sending/receiving terminal 20, and controls the sending of the mail to be sent. When confirmation is made on the confirmation screen and a transmission instruction is given by the sender (or when the confirmation screen is not displayed on the mail sending/receiving terminal 20), the transmission control unit 101 sends (transfers) the mail to be sent received from the mail sending/receiving terminal 20 to the mail server 40.

The screen generation unit 102 generates a confirmation screen based on the contents of the email to be sent received from the email sending/receiving terminal 20, the sender's attributes, information on past emails sent by mistake, etc. Then, the screen generation unit 102 transmits the generated confirmation screen to the email sending/receiving terminal 20.

Here, the screen generation unit 102 generates a confirmation screen template based on, for example, the contents of the email to be sent and the template screen generation rules stored in the template screen generation rule storage unit 111. Then, the screen generation unit 102 generates a confirmation screen by editing the confirmation screen template (hereinafter also referred to as the "template screen") using the employee information stored in the employee information storage unit 112, the erroneously sent email information stored in the erroneously sent email information storage unit 113, and the trained machine learning model.

The trained machine learning model is a model that has learned in advance the tendency of the content to be displayed on the confirmation screen using employee information indicating the attributes of employees, etc., and information on past erroneously sent emails. Any model used in machine learning techniques can be used as the machine learning model. Furthermore, such a machine learning model may be available through a library, an API (Application Programming Interface), a Web API, etc.

The template screen generation rule storage unit 111 stores template screen generation rules, which are a rule table for generating template screens. Details of the template screen generation rules will be described later.

The employee information storage unit 112 stores employee information indicating the attributes of employees (senders). Details of the employee information will be described later.

The erroneously sent email information storage unit 113 stores erroneously sent email information that indicates information about emails that have been erroneously sent in the past. Details of the erroneously sent email information will be described later.

As described above, the template screen generation rules, employee information, and erroneously sent email information can be created and edited by an administrator using the management terminal 30. However, the erroneously sent email information may be automatically collected in the erroneously sent email information storage unit 113, for example, each time an erroneous email is sent (or periodically).

Furthermore, the mail sending/receiving terminal 20 has, as functional units, a mail processing unit 201 and a display control unit 202. Each of these functional units is realized, for example, by a process executed by a CPU or the like of one or more programs (e.g., a mail application, etc.) installed in the mail sending/receiving terminal 20.

The email processing unit 201 performs processing related to the creation and sending of emails (including forwarding and replying). The display control unit 202 displays the confirmation screen received from the erroneous transmission prevention server 10.

The configuration of the email erroneous transmission prevention system 1 shown in FIG. 1 is just an example, and other configurations may be used. For example, the email erroneous transmission prevention system 1 may not include the management terminal 30. Also, for example, some of the functional units of the erroneous transmission prevention server 10 (e.g., the screen generation unit 102) may be realized by a device or system (e.g., a cloud server, etc.) connected via a communication network.

<Template screen generation rules>
Here, the template screen generating rules stored in the template screen generating rule storage unit 111 will be described with reference to Fig. 2. Fig. 2 is a diagram showing an example of the template screen generating rules.

As shown in FIG. 2, the template screen generation rule storage unit 111 stores template screen generation rules consisting of one or more records. Each record includes the following fields: "record number," "email attributes," "destination address," "add address," "attachment," "keywords," and "template screen."

Of these fields, "email attributes," "destination address," "whether or not to add addresses," "whether or not to include attachments," and "keywords" are the conditions, and if these conditions are met, a "template screen" corresponding to the condition is generated. The template screen generation rules store a number of records according to the combination of possible values for each of these conditions. In other words, each record is information that associates the conditions for generating a template screen with the template screen.

In "Record No.", identification information that uniquely identifies each record is set. In "Email Attribute", one of the following conditions is set: "New", which indicates that the email is a newly created and sent email, "Reply", which indicates that the email is a reply to a previously received email, or "Forward", which indicates that the email is a forwarded received email.

For "Destination address", either "Internal only" indicating that the destination address is an internal address only, or "External includes" indicating that the destination address includes an external address, can be set as a condition. Note that, for example, "Specific address included" indicating that a predetermined specific address is included in the destination address can also be set as a condition.

In "Added address" the condition is set as whether an email address has been added to the received email that was the target of a reply or forwarding when the "email attribute" is "reply" or "forward." In addition, when "added" is set, indicating that an email address has been added to the received email, the condition may be further subdivided into "added (internal)," indicating that the added email addresses are only internal email addresses, and "added (external)," indicating that email addresses outside the company are included. Note that when a specific address is added as described above, the condition may be subdivided, for example, into "added (specific address)," etc.

In "Attachment status," the condition is set as to whether or not a file is attached to the email. If "Yes" is set, indicating that a file is attached to the email to be sent, the condition may be further subdivided to include information indicating the type of attachment. For example, if a PDF file is attached, the condition may be subdivided as "Yes (PDF)," and if an executable file is attached, the condition may be subdivided as "Yes (EXE)," etc.

In "Keyword," the condition is set as whether the email contains a string that matches or partially matches a specified keyword. For example, if it is set as "Matches 'Estimate'," the condition is that the email contains the string "Estimate."

Note that various judgment statements may be set in the "keyword". For example, if the "keyword" is set as "match, 'A ∨ B'" using the operator "∨" which represents "or", the condition is that the email contains either the character string "A" or "B". Similarly, the operator "∧" which represents "and" may be used.

In addition, the "keyword" may be set to a location in the email that contains a specific keyword (e.g., the subject, the body, the attachment file name, etc.). For example, if it is set to "match, attachment file name, 'A ∨ B'", the condition is that the attachment file name contains either the character string "A" or "B".

In the "template screen", information about the template screen that will be generated when each of the above conditions is met is set. The "template screen" further includes "display/non-display" which indicates whether the template screen is to be displayed, and "items" which will be included in the template screen if it is to be displayed. Here, the "items" refer to confirmation items.

Examples of such "items" include "body," "attachment," "destination," and "warning." For example, if "body" is set as the "item," the confirmation screen displays a message indicating that the email body should be checked. Similarly, if "attachment" is set as the "item," the confirmation screen displays a message indicating that the attachment should be checked. Similarly, if "destination" is set as the "item," the confirmation screen displays a message indicating that the destination (recipient email address) should be checked. On the other hand, if "warning" is set as the "item," the confirmation screen displays a message indicating that the email contains a character string that matches the above "keyword" condition as a warning to the sender.

In this way, the template screen generation rules store one or more records that correspond to each condition and the template screen that is generated when each condition is met. This allows a template screen that serves as a confirmation screen template to be generated depending on the email to be sent.

<Employee Information>
Next, the employee information stored in the employee information storage unit 112 will be described with reference to Fig. 3. Fig. 3 is a diagram showing an example of employee information.

As shown in FIG. 3, the employee information storage unit 112 stores one or more pieces of employee information. Each piece of employee information includes the employee's attribute information, such as "name," "department," "position," "years of service," "email address," "risk," and "number of mis-sent messages."

"Name," "Department," "Position," "Years of Service," and "Email Address" are set to the employee's name, department, position, years of service, and email address, respectively.

"Risk" is set according to the employee's department, position, years of service, past violations of rules, etc. For example, if there are many sales emails sent to outside the company, "Sales emails present" is set, and if there has been a violation of company rules in the past, "Violation of company rules present" is set.

The "Number of times erroneously sent" field is set to the number of times erroneously sent emails have been sent in the past. The reason for the erroneous sending of the email (e.g., "wrong destination" or "wrong attachment") and the number of times it was sent may also be set.

In this way, employee information includes various attribute information of employees, which makes it possible, for example, to use a machine learning model to determine items that should be specifically checked depending on the attributes of the sender (employee). For example, the template screen may be edited to include these determined items.

Next, the erroneously sent mail information stored in the erroneously sent mail information storage unit 113 will be described with reference to Fig. 4. Fig. 4 is a diagram showing an example of the erroneously sent mail information.

As shown in FIG. 4, the erroneously sent email information storage unit 113 stores one or more pieces of erroneously sent email information. These pieces of erroneously sent email information are information about emails that have been erroneously sent in the past, and include the "Destination (To)", "Destination (Cc)", "Destination (Bcc)", "Subject", "Body", "Whether or not there is an attachment", and "Reason for error".

"To", "Cc", "Bcc", "Subject", "Body" and "Attachment" are set to the email address set in the To field of the erroneously sent email, the email address set in the Cc field, the email address set in the Bcc field, the subject, the body and whether or not there is an attachment.

The reason why the email was sent to the wrong address is set in the "Reason for error" field. Examples of such reasons include "wrong address" or "wrong attachment."

In this way, the mis-sent email information includes the content of mis-sent emails that occurred in the past and the reason for the error (why it occurred). This makes it possible, for example, to use a machine learning model to determine items that should be specifically checked depending on the content of the email to be sent. Note that, for example, the template screen may be edited to include these determined items.

However, the mis-sent email information storage unit 113 does not have to store all of the mis-sent email information that has occurred in the past. For example, the mis-sent email information storage unit 113 may store only mis-sent email information related to mis-sent emails that have occurred recently, or may store only mis-sent email information related to the most recent mis-sent email. Or, for example, the mis-sent email information storage unit 113 may store only mis-sent email information related to mis-sent emails selected by an administrator, etc.

More specifically, the screen generation unit 102 identifies records that satisfy the conditions among the records that constitute the template screen generation rules, based on the email attributes of the email to be sent, the destination address, whether an address has been added, whether an attachment has been added, whether a keyword is included, etc. Then, if "displayed" is set for the "template screen" included in the identified record, the screen generation unit 102 generates a template screen that includes the items set in each "item" of the "template item."

If the "Display/No Display" field for the "Template Screen" included in the identified record is set to "No Display," the screen generation unit 102 does not generate a template screen. In this case, steps S105 to S109 described below are not executed, and the email to be sent is sent in step S110 described below. This is because confirmation of the sender is not required in this case.

Note that although a template screen is generated in step S104 above, it is not necessary to generate one, and it is sufficient to simply identify the items to be included in the template screen.

Next, the screen generation unit 102 of the erroneous transmission prevention server 10 refers to the employee information stored in the employee information storage unit 112 (or the employee information and the erroneous transmission email information stored in the erroneous transmission email information storage unit 113) to edit the template screen and generate a confirmation screen (step S105).

More specifically, the screen generation unit 102 first identifies the employee information of the sender from the sender address of the email to be sent (i.e., the sender's email address). Then, the screen generation unit 102 generates a confirmation screen by editing the template screen using the obtained items.

At this time, the screen generating unit 102 may, for example, generate a confirmation screen that includes only items common to the obtained items and items included in the template screen, may generate a confirmation screen that includes only the obtained items, or may generate a confirmation screen in which the obtained items are added to the template screen. Alternatively, the screen generating unit 102 may, for example, generate a confirmation screen in which the total number of the obtained items and the items included in the template screen is equal to or less than a predetermined number, and in which the obtained items are given priority in being included over the items included in the template screen.

The machine learning model used is one that has been trained in advance to output items that the sender should check based on the sender's attributes and the content of the email to be sent.

Next, the screen generation unit 102 of the erroneous transmission prevention server 10 transmits the confirmation screen generated in step S106 above to the email sending/receiving terminal 20 (step S106).

The display control unit 202 of the email sending/receiving terminal 20 displays the confirmation screen received from the erroneous transmission prevention server 10 (step S107). An example of the confirmation screen displayed by the display control unit 202 is shown in Figs. 6 to 8. Figs. 6 to 8 are diagrams showing an example of the confirmation screen.

The confirmation screen 1100 shown in FIG. 6 includes, as items (confirmation items), a subject confirmation item 1101, a destination (To) confirmation item 1102, a destination (Cc and Bcc) confirmation item 1103, a body confirmation item 1104, an attachment confirmation item 1105, and a warning confirmation item 1106. After confirming the legitimacy of the email to be sent in each of these confirmation items, the sender can perform a sending instruction operation by pressing the send button 1107, and can send the email to be sent.

Confirmation screen 1200 shown in FIG. 7 differs from confirmation screen 1100 shown in FIG. 6 in that it only includes subject confirmation item 1101 and body confirmation item 1104. In other words, confirmation screen 1200 shown in FIG. 7 has fewer confirmation items than confirmation screen 1100 shown in FIG. 6. In this way, for example, by displaying only the items that you would like the sender to check, you can prevent the sender from becoming chronically hesitant to check.

The confirmation screen 1300 shown in FIG. 8 differs from the confirmation screen 1100 shown in FIG. 6 in that it only includes an attachment confirmation item 1105 and a warning confirmation item 1106. As with FIG. 7, this is a case where, for example, only items that the sender is particularly required to confirm are displayed, and it is possible to prevent the sender from becoming chronically hesitant to confirm.

In this way, in the email erroneous sending prevention system 1 according to this embodiment, the confirmation items on the confirmation screen displayed on the sender's email sending/receiving terminal 20 are changed according to the sender's attributes and the contents of the email to be sent. A prominent display mode may be, for example, displaying only the relevant confirmation items large (for example, displaying them twice or three times larger than normal confirmation items). Alternatively, as a prominent mode, for example, the color of a certain character string in the relevant confirmation item (for example, the email address set as the destination) may be changed or made to blink. Furthermore, if the confirmation item is for confirming the destination (To) or destination (Cc and Bcc), for example, instead of displaying all destinations, it is possible to display only email addresses outside the company, or only added email addresses, or to change the display mode by changing the size or color of a certain part of the text in the email address (for example, the text before the @ symbol or the text after the @ symbol).

The display mode may be different depending on a certain time period or the time period before or after a certain schedule. For example, during times when the risk of erroneous transmission is high (e.g., before work, late at night, before a business trip, just before a meeting, etc.), the message may be displayed in a particularly conspicuous manner. The schedule may be specified in advance, or may be different for each user based on a personal schedule book, etc.

For example, a confirmation screen may be generated using a trained machine learning model in accordance with the content of the email to be sent, attribute information of the sender, information on past erroneous emails, etc., without generating or identifying a template screen.

The present invention is not limited to the specifically disclosed embodiments above, and various modifications and variations are possible without departing from the scope of the claims.
