Port a number to HubSpot

Available with any of the following subscriptions, except where noted:

Number porting is the process of moving a telephone number from one calling carrier to another. Porting your existing phone number to HubSpot makes HubSpot the owner of that phone number. Upon completion of the port, that number will be considered a "HubSpot Number" which enables those numbers for inbound and outbound calling in HubSpot, IVR, team calling in Help Desk and Inbox, and more.

Porting is available for the countries listed below. Each country lists out the documentation required to submit a port request (via Twilio).

Port an existing number to HubSpot

Users can port their existing number from their current call carrier to HubSpot. Porting can take 2 to 4 weeks to complete for U.S. numbers, and 4 to 6 weeks for other countries.

To port a phone number, you'll need documentation like a Customer Service Record or utility bill, which you can get from your current call carrier. When you select the country you want to port your number from, a list of required documents to submit the port will be provided.

Please note: you can port up to 100 phone numbers for each submission. Toll-free porting isn't currently available.

To port in your number to HubSpot: 

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Calling > Call Setup.
  • In the top right, click Port a number.

  • Select the country you are porting from. Non-US countries will be taken to a regulatory flow where they must submit business information for approval. This ensures your business complies with using phone numbers for that country. Once your submission is approved, you can re-enter the porting flow by following the steps above
  • Read the requirements. Then, click Continue.
  • Read the acknowledgments. Then, click the checkboxes to agree to each acknowledgment. Click Continue.
  • Enter the phone numbers you want to port. You can add up to 100 numbers.
    • Click + Add a number.
    • Start the phone numbers with a (+1} prefix, and separate them with commas. All numbers must use the same carrier, unless they are Twilio numbers.
    • Click Continue.
  • Read and gather the required information and supporting documents. Click Continue.
  • On the Customer's billing address page, enter your billing information. Click Continue.
  • On the Upload supporting documents page, upload a copy of your most recent phone bill. Click Continue.
  • On the Account Information page, enter your information. 
    • Account number: the account number from your current call carrier. 
    • PIN: the PIN from your current call carrier.
    • Phone Number: the phone number associated with your account with your current call carrier.
    • First name and Last name: the first and last name of the person listed with the current call carrier who is authorized to make changes to the account.
    • Email: the email address of the person who'll sign the letter of authorization for the port in request.

  • In the bottom right, click Submit.

For U.S. number ports, within 15 minutes of submitting your request, you'll receive an email from Twilio (through Dropbox) with a letter of authorization (LOA). In your email, click Review & Sign to complete the LOA.

Please note: if you are using Outlook as an email provider, Outlook has security features that sometimes quarantine emails from LOA no-reply domains. Learn how to find and release quarantined emails.

View your ported number

Once the LOA is approved and the current call carrier approves the port request, Twilio will complete the port, and you'll be notified in your call settings. To view your ported number and assign to a user, inbox or helpdesk calling, or use IVR

  • In your HubSpot account, click the settings settings icon in the top navigation bar.
  • In the left sidebar menu, navigate to Calling > Call Setup.

Port a number out of HubSpot

You can port out a HubSpot number that you own in your account, to a new calling carrier. This may be useful if you're moving to a new calling solution but want to retain the phone numbers you’ve been using in HubSpot.

  • Contact the new calling provider you want to move your HubSpot phone number to. Request a “port in” of your HubSpot phone numbers. 
  • The new calling provider should submit a “port out” request to HubSpot’s call carrier, Twilio.
  • Once the request is approved, the new calling provider should communicate directly with you about the port-out approval and next steps. All future communications about the date of the port-out, number usage, and more should be directed to the new calling provider. 
  • After the port-out is complete:
    • Your HubSpot phone number won’t be available for use in your HubSpot account.
    • Your account’s phone numbers will be reset. For example, if you have five HubSpot phone numbers available with your subscription, and you port out three HubSpot phone numbers, you'll have three numbers available for you to configure a new HubSpot phone number.
